Confidentiality isn't just a legal obligation for us - it's the foundation of our business.
Information we collect
When you contact us or book a consultation, we collect the details you provide: your name, phone number, email address and any information you share about your situation. If you use our chat assistant, we keep the messages you send and the replies you receive. If you use the Hair Try-On, we collect your email address and the photo you upload.
Website analytics
We measure visits to this website with our own simple analytics. For each page view we record the page visited, the website you came from, your device type (desktop, mobile or tablet) and a random identifier stored in your browser so we can count visitors and visits. We do not record your name, email address or IP address in these statistics, and we do not use advertising trackers.
How we use your information
Your information is used solely to respond to your enquiry, arrange and provide consultations and services, improve this website, and - only if you ask us to - keep you informed about your appointments. We contact you exclusively via your nominated preferred method.
Chat assistant
Messages you send in the chat are stored so our team can read them and, if you ask to talk to a team member, reply personally. Automated replies are generated using an AI service (OpenAI), which receives your chat messages in order to answer them. Please do not share sensitive details such as payment information in the chat.
Hair Try-On photos
The Hair Try-On is available to visitors in Australia only, and you must verify your email address with a one-time code before uploading a photo. To check this we record your email address, IP address, approximate location (country, state and city) and browser type. Your photo is only used to generate your hairstyle preview and to support your consultation with The Hair Crew. It is processed securely by our try-on provider, which deletes its copy within 24 hours. We keep your photo and the previews, together with your email address, so our team can support your consultation, and we delete them on request. Photos are never sold or used for advertising.
Service providers
We use a small number of trusted providers to run this website, including email delivery (Brevo), AI services (OpenAI), our try-on provider (Perfect Corp) and our website hosting. They process information only to provide those services to us. We never sell, rent or share your personal information with anyone for marketing, and we never disclose that you are a client to anyone. Client photographs and stories are only ever published with explicit written consent.
Data security
We take reasonable steps to protect your personal information from misuse, loss and unauthorised access, in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). Access to enquiries and chat records is limited to The Hair Crew team.
Access, correction and deletion
You may request access to, correction of, or deletion of your personal information at any time by emailing info@thehaircrew.com.au or calling 0437 771 099. If you have a complaint about how we have handled your information, contact us and we will respond promptly.
